IT disruption: GP information

Message for GPs across North East London regarding Barts Health IT disruption, Thursday 25 May


Thank you all for your continuing support. We are working hard to get our services back up to normal. The ‭vast majority of our outpatient appointments and elective surgery went ahead ‬today.‭ However, we had to make a few cancellations t‭o ensure we can continue to run all ‬‬services safely.


Key information for GPs


Imaging


We are now able to accept all imaging referrals as usual. Please revert to referring imaging requests through your business as usual processes. For non urgent requests there will be a delay in returning results as we work through the volume of work and we appreciate your patience.
Pathology
A reminder: we c‭an accept ELECTRONIC pathology test requests and samples‬ at our hospitals‭. All electronic requests will be prioritised. Results can be viewed electronically via ‬EMIS and results for Newham CCG can be viewed in the HIE. 


Email


we have ‭started to turn on our email systems‬. The systems will take a while to get back to normal as they recover from this disruption. To ensure the safe delivery of referrals, please follow the processes below until we can confirm that our email systems are robust.


CANCER TWO WEEK WAIT


Thecurrent situation has affected Barts Health's ability to receive and review 
electronic two week wait referrals. 
Therefore Barts Health established a process for receiving two week wait referrals to ensure care remains safe and consistent. The mechanism for referring patients into each Barts Health site until further notice is:
1. Whipps Cross - fax 020 8928 8836
2. Royal London Hospital - fax 02074804751
3. Newham - fax 02073638818
4. St Bartholomew's (all services including breast until further notice) - fax 02074804751
It's crucial that information sent as part of the two week wait referral is clear and well 
documented. Please can you also give a copy of the referral to the patient as they will need to bring this with them to their appointment.
A dedicated telephone number has been set up for two week wait patients to ring following their initial appointment to ensure we provide a contact point for patients. This number is 07710066155.

MATERNITY PATHWAY 


Barts Health have a mitigation plan in place during the current IT disruption.
Midwives are manually processing records of births and liaising with the Child Health Team. 
Barts have also spoken to registry offices regarding a temporary paper based system.
GPs are advised to not use the electronic referral system for new pregnant women until they are notified that it is back up and running.
Instead, please fax through any referral forms directly to Newham (020 7363 8444) and 
Whipps Cross Hospital (020 8535 6841).
Please post all maternity referrals to the Royal London Hospital.
If you have made any electronic referrals since Friday 12 May please call the relevant maternity clinic to ensure that they are registered. This is because they may not be accurately registered as the IT disruption started on Friday.
For all urgent maternity referrals please call the relevant antenatal clinic.

Message for GPs across North East London regarding Barts Health IT disruption, Monday 22 May

Thank you all for your continuing support. We are working hard to get our services back up to normal.

The vast majority of our outpatient appointments and elective surgery went ahead today. However, we had to make a few cancellations to ensure we can continue to run all services safely. We are aiming to minimise the number of cancellations for tomorrow to prevent further disruption for patients.

We are pleased to say that we can again accept ELECTRONIC pathology test requests and samples from Tower Hamlets, Waltham Forest and Newham CCGs. All electronic requests will be prioritised. Results can be viewed electronically via EMIS and results for Newham CCG can be viewed in the HIE. Using electronic requests will help us process samples more quickly and efficiently.

Our imaging service continues to take urgent GP referrals at Whipps Cross, The Royal London and Newham hospitals. We are working hard to bring back a complete imaging service tomorrow (23 May). We will confirm the progress we have made by the end of the day (Tuesday).

Over the course of today, we started to turn on our email systems. Please note that the systems will take awhile to get back to normal as they recover from this unprecedented disruption. To ensure the safe delivery of referrals, please follow the processes below until we can confirm that our email systems are robust. We appreciate your patience over the coming days.

PLEASE NOTE SOME GPs ARE NOT FOLLOWING THE PROCESS OUTLINED BELOW. ALL 2WW REFERALS NEED TO BE DONE VIA FAX USING THE NUMBERS BELOW.
